Application closes: May 16, 2025 (or earlier if all spaces are filled)

DEADLINES

  • Payment Due: Full Payment due May 23, 2025, with a $500 deposit due upon approval.
  • Certificates of Insurance: Must be submitted by June 6, 2025.
  • Venue Check-In: Scheduled for July 23, 2025, starting at 9 AM.

NEVADA TAX ID

All vendors will need to provide a Nevada Tax ID to participate in the event.

INSURANCE REQUIREMENT

All vendors must provide a valid liability insurance policy with a minimum coverage of $1,000,000, naming:

  • Night in the Country, LLC
  • Boys & Girls Clubs of Mason Valley

Insurance Policy Details:

  • Minimum liability coverage: $1,000,000
  • Product liability: $1,000,000
  • Must be submitted by: June 6, 2025

  • Failure to provide a valid certificate of insurance by June 6, 2025, will result in the release of your booth.

OPERATIONAL HOURS

Event Day Vendor Hours:

Thursday, July 24, 2025: 1 PM - 11 PM
Friday, July 25, 2025: 1 PM - 11 PM
Saturday, July 26, 2025: 1 PM - 11 PM

Optional Morning Hours:

The main entrance opens at 8 AM on event days.  Vendors may choose to open earlier to serve patrons.

Full Moon Saloon Afterparty:

The afterparty, located next to Vendor Row, runs from 11 PM - 3 AM.  Vendors are encouraged, but not required, to remain open during this time.

REQUIREMENTS

Night in the Country Vending

 Vendor Fees

  • Fees:
    • 10×20 (10′ storefront x 20′ deep): $1,350
    • 20×20 (20′ storefront x 20′ deep): $1,450
    • 30×20 (30′ storefrontx 20′ deep): $1,550
  • Deposit: $500 required upon approval

Camping

  • Up to 2 campsites available per vendor in a designated area
    • Cost: $50 + fees (per campsite).
    • Size: campsites are 20×45.
    • Note:  Campsites are in The Trails section and are dry camping
  • Limited availability on a first-come, first-served basis.

Vendor Passes

  • Accepted vendors will receive up to 5 vendor passes in their packet.
  • These wristbands are for working personnel only.
  • Additional passes (up to 5) may be purchased for $20 each.

Health Permit Requirements

  • Vendor must comply with Health & Fire Department regulations to operate.
  • Failure to comply may resuly in booth closure without refund.
  • Food Vendors must obtain a Temporary Food Establishment Permit:
    • Valid for 14 days at one location.
    • Apply online: Nevada DPBH Temporary Permits.
    • Compliance with Nevada Administrative Code Chapter 446 required.

NITC App Requirements

  • Approved vendors must submit:
    • Logo (1280×800 pixels, PNG format).
    • Short describtion of offerings.
  • Email to [email protected]
  • Photos may be used by festival organizers for promotional purposes.

Power

  • Vendors must provide their own power.
  • For power services, contact Amerigen Power Solutions at 775-453-1048.  Additional fees will apply.
  • Arrange power setup prior to the festival to ensure availability.

Wi-Fi

  • Wi-Fi is available but may not be sufficient at all times.  Prepare your own backup connection.

Menu and/or Inventory Selection

  • Submit items and pricing during the application process.
  • While NITC strives to avoids duplicate offerings, exclusivity is not guaranteed.

Tent Requirements

  • Vendors must provide their own tents.
  • For rentals, contact Camelot Party Rentals at 775-355-9004 (additional fees apply)

Fire Safety Requirements

  • Each booth must have:
    • 5lb. ABC fire extinguisher.
    • Type K fire extinguisher if deep fat frying.

Alcohol Policy

  • Strictly prohibited:
    • Selling, giving away, or consuming alcohol at booths.
    • Operating booths while intoxicated.  Violations result in immediate dismissal.

Beverage Policy: Pepsi Products

  • Vendors must sell Pepsi Co. products (20 oz. bottles):
    • Pepsi, Diet Pepsi, Starry, Aquafina.
  • The stocking and restocking of these products will be coordinated through our vendor manger.
  • Specialty beverages (e.g., lemonage, tea, coffee) may be exempt.
  • Products must be purchased on-site from NITC, and all sales are final.

Ice Availability

  • 40lb. bags of ice available on-site at discounted rates for vendors.

Arrival & Check-In

  • Vehicle Searches:  All vehicles and trailers will be searched upon entry.
  • Check-In Process:
    • Collect wristbands and parking passes.
    • Additional wristbands: $20 each (limit 5).
    • Obtain booth and campsite location.

Vendor Placement

  • Booth locations assigned on-site by NITC.

Operations & Payment

  • Vendors must provide their own equipment for accepting credit card payments and suffcient change for cash transactions.
  • Vendors must restrict all activities to their booth space.
  • Push carts/hand trucks required for transporting supplies.
  • Ground cover: Booth areas are on gravel.
  • Vendors are responsible for booth cleanliness and nightime lighting.
  • Potable Water: Potable water is provided in the vendor area.

Overnight Security

  • Security provided Wednesday through Sunday.
  • Fixtures and materials left overnight are at vendors’ risk.

 Clean-Up & Reorganization

  • Vehicle Movement:  Prohibited during operating hours.  Use carts/dollies for restocking.
  • Booth Removal Deadline:  Sunday, July 27, 2025.
  • Vendors must leave their booth area clean and free of debris.

Volunteer Food Vouchers

  • Food Vendors must accept $8 vouchers from volunteers/staff.
  • Voucher reimbursement:
    • Turn in vouchers on-site (Fri-Sun, 1 PM- 3 PM).
    • Mail-in deadline: August 8, 2025.
    • Late submissions will not be reimbursed.

General Guidelines

  • NITC is not responsible for lost or stolen items.
  • Prohibited behavior includes distasteful or unlawful conduct.
  • NITC reserves the right to:
    • Amend rules and requlations.
    • Revoke passes or remove individuals for any reason deemed necessary.
  • NITC is not liable for delays or failures caused by uncontrollable factors (e.g., weather, acts of God).
